Personal data we collect
Tennis en Ligne, the “platform,” collects personal data, the “PD,” according to different contexts. The first context is the minimum level which allows the platform to identify you and use your account for its functionalities. This minimum level of PD is collected when you register with the platform's services as a player. Player accounts will be considered completely initialized by the platform when these minimum PD have been provided. The majority of features require to have a completely initialized account to be considered active. The second context applies when you register with a club or when a club adds you to the platform to offer you their services.
The platform supports three levels of PD, the minimum mandatory PD necessary for the operation of your account, the optional PD which are provided on a voluntary basis and the mandatory PD requested by clubs when you fill out their registration period forms.
The minimum mandatory PD are as follows:
- last name, first name, email address, city and self-rating.
The optional or mandatory PD requested by clubs (the fact of being optional or mandatory varies according to the clubs and their registration periods):
- includes minimum PD;
- address, postal code, date of birth, gender, citizens card number, telephone numbers (home, work, mobile).
Optional PD provided on a voluntary basis:
- includes the PD that clubs can request;
- laterality, photo, if the player is in a wheelchair, if the player is a coach, her specific communities (workplace, school frequented and sports establishment frequented), her social networks (Facebook, linkedin, twitter, personal website).
How we use personal data
The platform uses PD to provide access to its functionalities. Concretely, we use the PD from your account to:
- Authenticate your identity;
- Your email address is your username when it comes time to connect to the platform.
- Display your profile in lists filtered by region;
- Your city will be used to filter several lists.
- Show your profile in lists filtered by level;
- Your self-rating will be used to filter several lists.
- View your career profile;
- Your first name, last name, city, self-rating and laterality will be displayed in your complete public profile.
- Communicate with you when responding to requests for help about the platform;
- Your last name, first name and email address will be used to answer your requests.
- Notify different events in relation to your account;
- According to your communication preferences.
- To fulfill our legal and regulatory obligations;
- To respond to a request from a government or police authority, for example.
Depending on your subscription context, we activate the minimum notification that the platform requires. However, each email notification (or any other means of notification) sent by the platform can be activated or deactivated from your account. How we share personal data
The platform can share some of your PD with other players in the community. By default, your PD is not shared with other players. However, it is possible to unlock part of the PD in order to communicate with other players and plan matches.
Here are the features that partially unlock PD for other players in the community:
- When all players have accepted a duel request;
- All players in the duel will receive an email confirmation containing the last names, first names, email addresses, telephone numbers (home and mobile) of all players participating in the duel.
- Please note that a player who has unchecked their communication preference for duel notifications will not receive the PD of other players and will not be able to access them subsequently from the duels functionality.
- When two players find themselves in each other's favorite players list simultaneously;
- Both players will have access to each other's email addresses and phone numbers (home and mobile) in certain lists in their player account.
- When you apply for membership in a “family” or “friends” type community;
- Your first and last name, self-rating and email address will be shared with family members and friends.
- When you are in the list of players in a community such as "family," "friends," "work colleagues," "school" or "sports establishment";
- Your last name, first name, self-rating and your photo will be shared with other players in the community.
- When you are in an individual league or tournament of a community such as "family," "friends," "work colleagues," "school" or "sports establishment."
- Your last name, first name, self-rating, telephone numbers (home, work, mobile), email address and your photo will be shared with other players in the community;
- This extended information will only be available while the activity is ongoing, they will no longer be accessible once the activity is over.
- However, your first name, last name and self-rating will be shared publicly on the public activity page.
Here are the features where the platform can share your PD with clubs, teams and federations:
- When you become manager for clubs, teams and federations;
- Your first and last name will be shared with the owner of the club, team or federation as well as some managers.
- When you make a reservation on clubs' courts;
- Your first and last name will be shared with the club owner as well as some club managers;
- Depending on the club's specifications, it may decide to display your last name, first name and self-rating publicly on the tile of the reserved time slot on the court.
- When you complete a club or team registration request;
- Depending on the information requested by the club for each registration, the minimum obligatory PD, the optional or obligatory PD requested by the clubs (the fact of being optional or obligatory varies according to the clubs and the registration periods) and some optional PD provided on a voluntary basis will be shared with the club or team owner as well as some club or team managers.
- When you are in the player list of a club or team;
- Your last name, first name, email address, city, self-rating, address, postal code, date of birth, gender, citizens card number, telephone numbers (home, work, mobile) and your photo will be shared and may be modified by the owner of the club or team as well as some managers.
- When you are in the list of coaches of a club or federation;
- Your last name, first name, city, telephone numbers (home, work, mobile), email address and your photo will be shared with the owner of the club or federation as well as some managers.
- When you are in an individual league, a team league, a club tournament or course or a team league or federation tournament;
- Your last name, first name, self-rating, telephone numbers (home, work, mobile), email address and your photo will be shared with the owner of the club or federation as well as some managers;
- Your last name, first name and self-rating will be shared publicly on the public activity page.
- When you are in a team roster.
- Your first and last name, self-rating and photo will be shared with the team owner and some managers.
How to access and control your personal data
The platform shows a player menu (located at the top right of all pages once connected to your account) which will follow you from page to page and which will allow you to quickly access your player dashboard . This menu is easily recognizable, because it displays your first name followed by your photo. The dashboard allows you to view all information relating to your account and make changes to it.
Here are some key pages allowing you to access and control your PD:
- Your dashboard (Player Menu -> My Account -> Home);
- This page gives you an overview of your account and allows you to navigate to all other pages for managing your account.
- Your profile (Player Menu -> My Account -> Profile);
- This page allows you to view and update your PD;
- Only the minimum mandatory PD are required in your profile. You have the control to delete other PD that you would not like to keep, but which might be required by your club, team or federation.
- Your players (Player Menu -> My Account -> Players);
- This page allows you to view your favorite players and find out if they also have you in their respective list;
- This is the page that allows you (and other players) to view communication information (telephone numbers (home and mobile) and email address);
- If you no longer want a player to access your information, this page allows you to quickly access their profile (by clicking on the player's name) and click on the "Remove from your favorites" button (under the photo) to reblock your mutual information.
If you are in a club or team, you can also request an update from those responsible. They will be able to update your account according to the information you have sent them.
In all cases, do not hesitate to contact the privacy manager for any update requests that you are unable to complete or to simply delete your account and all your PD from the platform.
